Format, Structure, and Schedule


  • Counseling Formats
    • Face to Face - Office

    • Traditional counseling in the sense that you travel to our office. This is the best format for dealing with any concerns mild to severe. Fee is paid at the end of each session (see fee schedule on this page).
    • Face to Face - Home

    • Same as an office visit, except that your counselor will travel to a location of your choice. Fee will be increased by $3 per mile (minimum charge $30). Travel charge must be prepaid. Fee is paid at the end of the session (see fee schedule on this page).
    • Phone

    • Our sessions will take place via a prearranged telephone call. Your counselor will provide counseling/coaching for non life-threatening concerns. If your need turns out to be urgent or life-threatening, your counselor will encourage you to find a counselor you can meet with face-to-face and may decline to provide further services without the ability to meet face-to-face. Sessions are 45 minutes in length. Fee must be prepaid (see fee schedule on this page).
    • Live Chat Instant Message (IM)

    • You will meet your counselor online using our secure flash chat program. Fee must be prepaid for following sessions. $60 per 50 minutes (includes email availability to ask clarifying questions and receive an answer).
    • Email

    • Your counselor will spend up to 60 minutes responding to your email. Every effort will be made to fully address your concerns. Expect a response within 48 hours. Fee must be prepaid. $60 per exchange (includes allowing for the client to ask clarifying questions and receive an answer).

    Only during face-to-face counseling are NRC counselors equiped to diagnose and treat life-threatening concerns. How Do I Pay For Counseling?


The following are the financial terms by which New Reflections Counseling (NRC) agrees to provide services to you.

Standard Fee
50 minutes of Face-to-Face counseling - $120 (sliding scale fee available)
45 minutes of Phone counseling - $120 (sliding scale fee available)
50 minutes of Online chat - $60
60 minutes of Email response - $60
50 minutes of Group counseling – varies depending on the number of people in the group
Client requested communication - $60 per letter, phone call, report, etc.

Sliding Scale Fee
NRC wants our services to be accessible to those who need help. NRC provides a sliding scale fee (SSF) for those who demonstrate they cannot pay the standard fee. The SSF is determined by the client’s total household income before taxes. Total income includes all forms of income and assistance (financial, housing, interest, alimony, etc.). The SSF is a privilege; NRC reserves the right to charge a fee, higher or lower, depending on the client's ability to pay. The client is responsible for notifying NRC of any permanent changes in income.

Can I use my HSA or FSA?
Yes! Health Savings Accounts or Flexible Spending Accounts are an excellent way to pay for our services using non-taxed money. For your HSA, simply pay with your check or debit card. For your FSA, we will provide a receipt so you can make a claim.

Can I Use Insurance?
NRC offers a sliding scale fee in place of directly accepting insurance. You can use out of network benefits. Upon your request, NRC will supply you with a receipt accepted by insurance companies. Upon your request, NRC will submit paperwork to your insurance company so you can be reimbursed. NRC will do this free of charge once for every 6 paid sessions.

Benefits of Self-Pay
Clients who pay directly for their counseling needs gain the following benefits:
  • You gain confidentiality and privacy. If you use insurance, your insurance company has the right to review your clinical records. This creates a paper trail.
  • You get to choose the right counselor for your personal concerns.
  • You do not need to worry about whether further sessions will be approved (you are in charge, not the insurance company).
  • You will likely feel more responsible and invested in the counseling process and might even see results quicker due to increased motivation.

Canceling or Rescheduling
Appointments are reserved specifically for you. As a courtesy to your counselor and others who might want your appointment time, let us know if you are unable to keep your appointment. If you do not notify by phone before 11am the day before your appointment (or Friday when your appointment is Monday), you agree to pay a cancellation fee equal to 50% of your agreed fee (per hour scheduled). Without any notification the cancellation fee is 100%. Exceptions are limited to circumstances beyond your control (personal sickness, car accident, weather emergency, acts of God). We suggest scheduling your appointment when responsibilities (work, children, etc.) will not interfere, or be willing to pay the cancellation fee. If you miss your appointment without notification or develop a pattern of canceling you may be asked to pre-pay future sessions or service may not be provided.

Payment Responsibility
Payment in full of the agree upon fee is due by the end of each session. For online or phone services, payment is expected before service is provided until the client establishes a favorable payment history. Payment can be made in person by check or money order, or online by credit/debit card through Google Checkout or Paypal. While payment can be made in cash, NRC does not keep cash on hand to make change. There is a $35 fee for returned checks.
